What does “Paper ID” means on the online Registration?

It's a four-digit number that you will receive in the email subject line with "Paper Registered" once your paper has been submitted.

How can I participate in the Award Competition?

Best Paper Award (BPA): Only requires a full paper submission to participate.
Young Researcher Award (YRA): Besides requiring a full paper submission, submitter must check the competition box during the initial submission. After we sending out the acceptance notification, we will verify whether the first author is under 35 through the email.

The sheet in the submission information section is confusing to me. What is the submission procedure?

There will be only ONE round of review. Your paper acceptance notification is currently scheduled for 6/30.
If you submit an ABSTRACTS during Stage 1:
You can submit the full paper during Stage 3 to participate in the Award Competition.
OR, you can directly attend the conference by completing the registration process.

If you submit a FULL PAPERS during Stage 1:
You can directly attend the conference by completing the registration process.
Also, you can resubmit a revised paper during Stage 3 if necessary.

Do I need to submit a full paper by June 30 (Stage 1)?
Can I submit only abstract to participle conference?

1. No, you can submit only abstract in stage 1, but we accept you to submit full paper in this stage.

2. Yes, you can submitonly abstract to participle conference.

How do I submit my paper to Poster Presentation?

The ratio of oral to poster presentations will be arranged by our Committee, and the final presentation format will be announced together with the review results on July 22.

How do I modify my paper in the system?

First, please check if you are using the email address to log in.
Second, click on “Personal Information” — you should see the paper listed under the submission status.
Third, click the "Modify Submission" to modify your paper.
Forth, add your author's email in the field in. 

Where can I find the copyright form? And where do I upload the camera ready paper?

In Stage 3, the submission system will prompt you to upload your final paper, which refers to the "Camera Ready Paper" as mentioned on our website.

There is also a button in this stage for uploading a copyright form.

However, please note that you do NOT need to submit a copyright form for this conference.

Has a detailed version of the Notification of Paper Acceptance letter been sent?

We have sent a system email (【ASPEN 2025】Notification of Paper Review Results Announcement)  to all authors registered in the submission system.
Please log in to the submission system to check the presentation type. If the status shows Oral or Poster, it means your paper has been accepted.

If you need a more detailed version of the acceptance letter that includes paper title and author information, please feel free to email us with your Paper ID.

What is the Camera Ready Paper?

The camera-ready paper refers to the final version of your paper that will be included in the official conference proceedings.
At this stage, we expect you to:
1. Revise your paper based on the reviewers’ comments
2. (Optionally) Provide the complete/full paper
3. Correct any errors from the initial submission

If you do not submit a camera-ready version in stage 3(before August 31), we will proceed with the version you submitted earlier as your camera-ready paper.

Who should register under the Regular category if our paper is accepted?

Each accepted paper must be linked to one Regular registration, regardless of who registers.
The registrant can be the presenter, corresponding author, first author, or any co-author — including a student.

If the person registering the paper selects the Student category, the paper cannot be linked and will not be included in the final program.
Other participants who are not responsible for registering the paper may use the Student category if eligible.
